Background / General description
Provide support to the Human Resources function for the World Bank’s Office in Chennai. The scope of responsibility includes assisting the Human Resources Officer in recruitment, Induction and training activities, performance management process, Annual salary survey, handling staff records and routine administrative assignments.
Narrative: The job holder reports to the Human Resources Officer.
Duties and Accountabilities
Recruitment & Induction
1. Interact with consultants on open positions for sourcing resumes.
2. Coordinate with team leads for Short listing and candidate feedbacks.
3. Meet up with candidates coming for interviews to administer technical tests, do the evaluation.
4. Complete joining formalities for staff joining the bank on various appointment types.
5. Prepare a schedule & ensure timely induction for all Staff joining the Chennai Office.
Training & other Instituitional initiatives
1. Coordinate operations such as resource reservations, logistics, and staff notifications.
2. Collect feedback and prepare analysis of feedback and report.
3. Manage the Training records for the Chennai Office.
Compensation.
1. Collect information from selected candidates on their compensation.
2. Participate in working out salary offers for external and internal candidates.
Vendor Management.
1. Process Invoices on time and ensure timely payment to vendors.
2. Interact with the Recruitment consultants and the background check vendors on a continous basis to ensure they adhere SLA s and maintain the quality of work.
3. Ensure Documentation regarding addition of new vendors.
Staff interface.
1. Prepare letters for staff requesting proof of address, employment, compensation etc.
2. Address staff queries in consultation with the members in the HR team.
Data Management.
1. Update the HR Database on a real time basis.
2. Update the interview Database on a daily basis
3. Update the positions Database twice a week.
Assist the HRO in all administrative tasks on a need basis
Selection Criteria
• A Bachelors degree with a minimum of 2 years of fulltime professional experience.
• A Masters degree in Management / Business Administration would be preferred.
• Strong written and verbal communications skills.
• Client focused, flexible and an excellent team player.
• Good interpersonal skills
• High level of personal and professional integrity
General Competencies
Ability to operate sensitively in multi-cultural environments and build effective working relations with clients and colleagues.
Ability to balance client interests/needs with institutional values, guidelines, practices.
Strong research/analytical skills, facility with specialized computer applications, software applications and relevant HR databases.
